Senior Helpers is currently seeking a Recruiting and Scheduling Manager to work in our Glendale, WI office. As our Recruiting and Scheduling Manager, you will be involved in planning and implementing recruiting campaigns. You will also be responsible for a variety of duties associated with full-cycle recruiting of staff to include sourcing, screening, interviewing, testing, collecting pre-employment documents, and retention. And, you will help select, schedule, and coordinate caregivers based on the needs of our clients.
Recruiting & Staffing
Finding Job Candidates: Develops full-cycle recruiting strategies to target and recruit candidates from a variety of sources using various techniques including third party job boards and industry events. Represents company at internal and external job fairs, college campuses, personnel agencies, business professional groups, and other locations throughout the community
Planning: Collaborates with department heads to determine hiring needs and develop multifaceted hiring program
Advertising: Creates, posts, and maintains job advertisements
Data Entry: Inputs complete applicant and employee information into Information System
Applicant Screening: Determine applicant qualifications by conducting pre-screen interviews of applicants: analyzes responses: verifies references: and compares qualifications to job requirements. This requires consistent activity on the telephone, making calls to current and past job applicants.
Interviewing: Schedules in-person interviews based on pre-screen results of suitable candidates to move forward in interview process
Administrative: Prepares employee packets prior to orientation. Participates in new employee orientation. Keeps caregiver files up to date, including tracking expiration of any licensing, insurance, etc. in home care software. Collects new documents as directed, notifies department head when new documents cannot be obtained
Retention: Works to create and implement caregiver recognition program. Oversees the planning and launch of caregiver events. Ensures all caregivers are given performance reviews annually. Hold caregivers accountable to policies, and performs caregiver terminations if necessary
Manages workload based on company goals, and personal initiative and prioritization
In consultation with department heads, work with Scheduling Coordinator to select, schedule, and coordinate caregivers based on assessment and care plan information for new and existing clients.
Maintain all scheduling of caregivers and respond to situations where scheduling conflicts, emergencies and/or "call-outs" arise. Company schedule must be complete for the next business day/weekend before leaving for the day
Track and record in company systems all instances of assignment refusals, call-outs, late arrivals, early departures, etc. and share information with department heads
Other duties as assigned
1-3+ years related experience - healthcare, senior care, or other fast-paced staffing/ recruiting organization
Self-direction with exceptional communication skills
Excellent interpersonal and customer service skills
Technology skills including Microsoft Office and other back-office systems
Highly organized and able to work under time pressures and manage multiple demands simultaneously
Excellent attention to detail
Must have experience using telephones with multiple lines, multi-task on several calls and maintain professionalism and patience with a fast paced environment
Excellent problem solving abilities are a requirement, as schedule conflicts are bound to arise that will require creative solutions

This is a full-time, salaried position. Work is usually performed weekdays, between the hours of 8am and 5pm.
