ESSENTIAL DUTIES & RESPONSIBILITIES 1. Regulatory Compliance Maintain full compliance with 22VAC40-73 and all applicable federal, state, and local regulations. Ensure timely completion and maintenance of required policies, documentation, training, emergency plans, infection control plans, and quality-assurance processes. Coordinate and prepare for VDSS inspections, reviews, incident reporting, and corrective action plans. Maintain current Administrator license/endorsement per Virginia Board of Long-Term Care Administrators requirements. 2. Resident Care Oversight Ensure each resident's Individualized Service Plan (ISP) is developed, implemented, and updated per regulation. Oversee medication management in accordance with 22VAC40-73-640, ensuring proper administration, documentation, and staff competency. Ensure residents' physical, emotional, and social needs are met. Address and resolve resident or family concerns professionally and promptly. 3. Staffing & Personnel Management Hire, supervise, and evaluate staff including DSPs, CNAs, PCAs, Medication Aides, and contractors. Ensure all staff meet required credentials, background checks, TB testing, orientation, and ongoing training per 22VAC40-73-120/130. Maintain accurate employee files, schedules, and staffing plans. Provide ongoing leadership, coaching, and performance management. 4. Facility Operations Manage day-to-day operations, including housekeeping, food service, transportation, maintenance, life-safety systems, and infection control. Ensure emergency preparedness procedures are maintained and staff trained per 22VAC40-73-990. Ensure safe, clean, and properly functioning environment for all residents and staff. 5. Financial Management Oversee resident billing, payments, expenses, vendor contracts, and facility budget. Ensure responsible financial stewardship while maintaining compliance and quality standards. Assist with reviewing rates, admissions, and financial agreements. 6. Admissions, Discharges, & Documentation Oversee the admission process, including pre-move-in assessments, agreements, and required documentation. Ensure lawful and compliant discharge processes per 22VAC40-73-430 and Code of Virginia 63.2-1805. Maintain complete resident records, incident reports, and required documentation. 7. Leadership & Communication Serve as the primary point of contact for residents, families, VDSS, inspectors, medical professionals, and community partners. Promote a culture of dignity, respect, safety, and resident-centered care. Maintain confidentiality in accordance with privacy laws and ethical standards. QUALIFICATIONS Required Must be at least 21 years of age. Licensed Assisted Living Administrator (LALA) Knowledge of VDSS regulations and operations of an assisted living facility. Strong management, leadership, and communication skills. Ability to supervise staff and manage difficult situations with professionalism. Ability to pass all background checks, TB testing, and health screenings. Preferred 1-3+ years of experience in assisted living, long-term care, gerontology, residential care, or related field. Experience in budgeting, billing, and electronic record systems. CPR/First Aid certification. WORK ENVIRONMENT & PHYSICAL REQUIREMENTS 5-bed facility, all ambulatory residents Must be able to walk, stand, bend, and assist residents as needed. On-call responsibilities required. May require evening or weekend hours.
